Questions to Ask Your Wedding Venue or Reception Site

Before I started visiting venues for our wedding, I looked over lists of questions. This helpedĀ me think beyond “It’s so beautiful” and think more “What will actually work for us?” Everyone has different priorities, so some of these questions might not apply to you. We wanted a place for our ceremony to be outside and the reception inside – all at the same location so people didn’t have to drive.

  • Is it big enough to accommodate your guest list? (Most couples will have to cut people for their venue/budget).
  • What is the rental fee and what exactly does that provide?
  • How much is the deposit and when is it due?
  • How big is the dance floor?
  • Are there enough restrooms? Where are they and are they clean? (Some sites use Port-a-Potties!)
  • Is there enough parking and do you have to pay for it?
  • Are the outside areas pretty? (Keep in mind what season you are getting married in).
  • Is there a backup plan in case of rain? (This is a MUST in the Pacific Northwest).
  • Where are the best photo opportunities? Do you like the backdrop, whether it’s natural or indoors?
  • Is there enough room for photos to be taken of your whole family or wedding party?
  • Is there a separate area for a cocktail hour?
  • Is there an area for the bridal party to get ready? (If not, do you have a place in mind?)
  • Is the lighting good enough for photos and the reception?
  • What are the acoustics like? How have other weddings managed sound?
  • Will there be other weddings there while yours is going on? (You wouldn’t want the wrong bridesmaids going in to your wedding!)
  • How private will your wedding be?
  • Will they have staff available to help you? Are they professional?
  • Is the venue all inclusive or can you choose your own caterer, photographer, etc.?
  • Are you allowed to bring any of your own vendors? Is there a charge for bringing your own?
  • What does the kitchen provide? (Especially important if you are self-catering, like we are).
  • Can you choose your own linens, china, glassware, etc. or do you have to provide it?
  • Is there an on-site wedding coordinator?
  • What overtime rates apply?
  • Do they have a liquor license or banquet permit?
  • Is there fire, accident, and liability insurance? (See the certificates).
  • Has the venue been inspected and licensed to operate?
  • Is there a complete and professional contract?
  • Can you make amendments to the contract?
  • What are the restrictions on time, noise, dress code, etc.?
  • Is there a refund or cancellation policy?
  • Can you have candles, sparklers, or anything else that you really want?
